How customer profiles are created automatically, what's on them, and how to add, import, and export your customer list.
How customer profiles are created
You don't need to build your customer list by hand. The first time someone books an appointment, Slotwise creates a profile for them automatically. If a new booking comes in with a phone number or email that already matches an existing customer, Slotwise adds the visit to that existing profile instead of creating a duplicate — phone number is checked first, then email, so the same person calling one week and booking online the next still ends up as a single record.

What's on a customer profile
Open any customer to see:
- Visits – how many appointments they've completed
- Total spent – their lifetime spend with your business
- No-show count – how many times they booked and didn't turn up
- Next visit – their next upcoming appointment, if any
- Notes – free text for anything your team should know, such as a preference or an access instruction
- Tags – labels you define, for grouping customers
- Marketing consent – whether the customer has agreed to receive marketing messages
Tip Use tags to segment your regulars, VIPs, or anyone due a win-back message. A quick "regular" or "new" tag makes your list far more useful when you're planning a promotion.
Tip Put anything staff need at the counter into notes — a preferred team member, a sensitivity, a parking instruction — so it's visible no matter who's on shift.
Blocking a customer from online booking
If a customer keeps not showing up, or you simply don't want them booking online, open their profile and block them from online booking. They can still be booked by phone or in person by your team, but they won't be able to book through your Booking page themselves.
Tip Check the no-show count before blocking someone. For an occasional no-show, requiring a deposit on their next booking is often a better fix than blocking them outright.
Add a customer manually
- Go to https://slotwise.skotechlabs.com/app/customers.
- Click Add customer.
- Enter their name, phone, and email.
- Add any notes.
- Click Save.
Import customers from CSV
Moving from a spreadsheet or another system? Import your list instead of typing it in one by one.
- Go to https://slotwise.skotechlabs.com/app/customers.
- Click Import.
- Upload a CSV file with columns for name, phone, email, and notes.
- Match the columns in your file to the right fields if you're asked to.
- Confirm the import.
Tip Tidy up phone number formatting in your spreadsheet before importing. Consistent formatting helps future bookings match correctly against the customer you already have on file.
Export your customer list
From https://slotwise.skotechlabs.com/app/customers, export your list to CSV whenever you need it outside Slotwise — for a backup, a mailing list, or analysis in a spreadsheet.
Tip Before sending a marketing message, export your list and filter by marketing consent so you're only reaching customers who actually opted in.
