How customers book
A walkthrough of exactly what your customers see and do when they book an appointment with you online.
What your customers see
When someone opens your booking page, they move through a short, guided flow: pick a service, pick a person, pick a time, pay, done. Knowing this flow well helps you answer customer questions and set your booking rules sensibly. This article follows the journey from start to finish.
Step 1: Choosing services
The customer picks one or more services from your list. As they add services, a basket appears showing the running total price and total duration, so they know exactly what they're booking and how long it will take before they commit to a time.
Tip If customers often book two services together, such as a haircut and a beard trim, list both near the top so the basket fills up naturally.
Step 2: Choosing a team member
Next, the customer picks who they want to see, or selects Any available to let Slotwise assign someone automatically. Whether this choice appears at all depends on your booking rules — some businesses let customers pick a favourite stylist or doctor, others keep it simple with Any available only.
Step 3: Picking a date and time
The customer picks a date from a calendar. Days with no free space are greyed out, so they never waste a click on a day that can't work. Once a date is chosen, times appear grouped under Morning, Afternoon and Evening, which makes it quick to scan for a convenient slot. For class-style services, each time also shows how many seats are left.
Tip If one time of day always fills up first, check whether your slot interval or team schedule is limiting how many people can book then.
Step 4: Entering details and a coupon
Before paying, the customer enters their name, phone number, email and an optional note for you. If you've set up booking questions on your booking page, they answer those here too — short answer, paragraph, dropdown, single choice, tick box, date or number, each required or optional as you configured it. There's also a field for a coupon code if they have one.
Step 5: Paying for the appointment
The customer chooses how to pay:
- Pay at the appointment — no online payment; they pay you in person.
- bKash, Nagad or Rocket — they send money to your business number and enter the transaction ID.
- Card or mobile banking online — processed securely through SSLCommerz.
Whenever an online payment is in progress, the slot is held for 20 minutes so nobody else can take it while the customer is paying.
The confirmation screen
Once the booking is complete, the customer sees a confirmation screen with a short reference number (for example, SW-7K4M2Q), a button to Add to Google Calendar, a link to download an .ics calendar file, and a private manage link. The same reference and manage link are also sent by email and SMS, so the customer always has a way back to their booking.
When a day is fully booked
If every slot on a day is taken, customers see Join the waitlist instead of a dead end, so you don't lose them to a competitor just because your first choice of time was full.
Managing or finding a booking afterwards
Using their private manage link, customers can reschedule or cancel their appointment within your business's rules, pay any balance due, and leave a review after the visit. If they've lost the link, Find my booking on your booking page looks it up using their reference number and phone number.
Tip Mention Find my booking in your voicemail greeting or away message — it saves you from having to look up appointments for everyone who calls in.
No double bookings, ever
Because the exact time is re-checked and locked at the moment a booking is made, two customers can never end up holding the same slot, even if they were both looking at it at once.
