Team access and roles
Invite your staff to log in to the console and control what each person can see and do with roles.
Logging in vs. being bookable
Team access controls who can log in to your Slotwise console and what they can see once they're in. It is separate from being a bookable team member — the profile customers pick when they book, with a name, photo, bio, services and working hours. That profile is set up under Team, and is covered in a separate article, "Add your team".
Many people need both: a login to manage their day, and a bookable profile customers can choose. Some people only need one — for example, a bookable staff member who never logs in, or an owner who manages the business but never takes bookings themselves.
Inviting someone by email
- Go to Settings → Team access.
- Click Invite.
- Enter the person's email address.
- Choose a role for them (see below).
- Click Save to send the invite.
- The person receives an email invite and sets up their own login.
Once they accept, their login is linked to a team-member profile, so what they see in their calendar and appointment lists lines up with the bookable profile customers see on the booking page.
Tip Invite people with the email address they actually check. The invite link only works once, so if it goes to the wrong inbox you'll need to resend it.
The four roles
Roles are fixed platform-wide — you assign one of the four to each person, but you can't create custom roles or change what a role can see.
- Owner — full access to everything, including billing and plan changes. Usually reserved for the business owner.
- Manager — full access to everything except billing and plan and payment details.
- Front desk — calendar, all appointments, customers and payments, but not business settings or billing.
- Team member — only their own calendar and their own appointments. They can't see other team members' schedules or customer lists beyond their own bookings.
Tip Give reception or front-desk staff the Front desk role rather than Manager. They get everything they need to run the day — calendar, appointments, customers, payments — without seeing billing or plan details.
Tip Give each service provider the Team member role so they only see their own day. This keeps other people's schedules and customer details private, which matters in clinics and chambers especially.
Managing invites and access
From Settings → Team access you can see everyone who has been invited, resend a pending invite, change someone's role, or remove their login entirely. Removing a login doesn't delete their bookable team-member profile — it only stops them from signing in to the console.
Tip Review this list occasionally, especially after someone leaves. Removing their login promptly keeps your customer and payment data secure.
