Confirmations and reminders
Choose which booking events send an email or SMS, set reminder timing, and check the sent-messages log.
Turn events on or off
- Go to Settings → Messages & reminders.
- Find the event you want to change.
- Turn on Email, SMS, or both — each event has its own switch for each channel.
- Repeat for any other events you want to send.
The available events are:
- Booking confirmed — sent as soon as an appointment is booked.
- Booking request received — sent when a customer requests a booking that needs your approval.
- Rescheduled — sent when the date or time of an appointment changes.
- Cancelled — sent when an appointment is cancelled.
- Reminder — sent ahead of the appointment, see Reminder timing below.
- Review request — sent after a completed appointment, so the customer can leave a rating.
- Payment receipt — sent after a payment is taken.
- Waitlist slot opened — sent to a waitlisted customer when a slot frees up.
This only controls whether a message goes out, not what it says — see "Editing message templates" to change the wording.
Tip Only turn on Booking request received if you approve bookings manually. If every booking is confirmed automatically, you can leave it off.
Reminder timing
Reminders can go out at more than one point before the appointment — for example, 24 hours before and 2 hours before. Turn on whichever reminder times suit your business, for either channel.
Tip Keep both a 24 hour and a 2 hour reminder switched on where you can. Used together, they noticeably cut no-shows, especially with first-time customers.
Notify your team
Slotwise can also notify your own staff, separately from customer messages:
- New booking — sent to the business email and to the team member who was booked.
- Customer cancellation — sent to the business email and to the team member who was booked.
Tip Turn these on if you take walk-ins or run a small team — it's often faster than checking the calendar between appointments.
The sent-messages log
Every email and SMS Slotwise sends is recorded, along with its status. This is the first place to check when a customer says they didn't get a message.
- Go to https://slotwise.skotechlabs.com/app/messages.
- Find the customer or appointment in the log.
- Check the status shown next to the message.
If SMS shows as skipped rather than sent, your SMS credits may have run out — see "SMS credits" for what that means and how to top up.
Tip If a customer says a message never arrived, check the log before assuming something is broken. Most of the time it shows as sent, and it was simply missed or landed in spam.
